In House Event Coordinator

  • 20-25 hours a week: 5 short days with varying hours
  • Reports to Executive Director
  • Works as a team with the evening event manager

Initial Responsibilities

  • Learn how to work the front desk: Make coffee, check-in members, dishes, bathroom checks, A/V hookups, cleaning counters, making signs, emailing, etc.
  • Learn Nexudus, our member management software
  • Contribute to policy decision making
  • Research, choose and learn an event management software (with ED)
  • Learn Trello, Slack, Salto,

Ongoing responsibilities (some of this will be shared with evening event manager)

  • Work the front desk 1-2 five hour shifts a week
  • Respond to all event@worklifehaven emails
  • Send interested customers Google forms to collect initial data
  • Transfer data into event software
  • Schedule in-person meetings with customers
  • Sell The Haven as a place to hold meetings/events
  • Create price quotes
  • Create event contracts to be signed
  • Create invoicing for deposits and final bills
  • Ensure invoices are paid
  • Be onsite during normal business hours for larger daytime conference setup
  • Work directly with the evening event manager to plan and execute larger evening/weekend events
  • Create all events in Nexudus: text, images, tickets
  • Correspond with Social Media Manager to promote appropriate events
  • Occasionally attend networking events to promote The Haven
  • Participate in a once a month staff evening connection/training
  • Schedule cleaners for appropriate events
  • Order linens
